Someone asked (I think joking) tonight where SLUG raffle money went. I
told him it went for "Linux research" (wink wink nudge nudge). But I
should probably take this opportunity to reiterate and expand what's on
the website.
SLUG monies go into a bank account in Clearwater for the group. All
transactions into and out of that account, since the beginning of
raffles, are on the Treasury page of the SLUG website (
http://www.suncoastlug.org/treasury.html ). Since it's your money and
your group, you have to right to see where the money goes and how much
comes in.
SLUG monies are spent on SLUG events. When we do CTS shows, SLUG pays
for things like the electricity and internet access. We paid for Mad
Dog's air fare and hotel when he visited. We paid for the pavilion at
the Linux 10th anniversary picnic. SLUG also pays for incidentals in
connection with events, like the printing of handouts, business cards,
etc.
The SLUG officers (in accordance with the bylaws) control how the monies
are spent, and all expenditures are voted on by the officers. There is a
special list at NKS for group administrative issues, including votes on
money. Currently, the SLUG officers include the president (me), the list
admin (Tom Ufer), the event coordinator (Ed Centanni), and the leaders
of all the main meetings, which includes Robin Mayhue, Norb Cartegena,
and Bill Preece. Even though I run both the Tampa and Dunedin meetings,
I still only get the one vote.
I personally handle the record keeping for the SLUG account, including
the checkbook, deposit tickets, monthly statements, and receipts for
every expenditure. As with any other bank account, I reconcile the
account (what there is of it) monthly. FWIW, I changed banks for the
SLUG account last year when I changed my personal and business accounts
to Amsouth from First National. I've worked it out so that the SLUG
account doesn't have to pay any fees for its checking account, though it
took some persuasion.
Incidentally, the first time we put out a cup for donations to SLUG, it
was at a Tampa meeting at the old high school location. I didn't even
mention it, but people started putting money in the cup right away,
which surprised me. I wasn't too keen on people just giving money to
SLUG without getting something specific in return. So the raffles were
created. That's been about three years now, and we've probably collected
in the neighborhood for $3700. Special thanks to all those people who
have donated money to SLUG.
